Summary: The Contract Specialist role involves managing contracts from pre-award to post-award phases, ensuring compliance with legal and procedural requirements. Key responsibilities include tender preparation, contract negotiation, administration, and stakeholder engagement throughout the contract lifecycle. Key Responsibilities:

  • Develop and deliver contract packages related to contracting strategies and plans.
  • Assist requesters with procedural requirements of the Request for Tender process.
  • Draft Single Source Justifications in line with corporate policy.
  • Manage EOI and tender processes, preparing relevant documents.
  • Liaise with Tenderers regarding queries and bid process administration.
  • Minimize variations through stringent scope and terms control.
  • Include relevant insurance and damages provisions in contracts.
  • Manage and run pre-award meetings.
  • Participate in Tender Evaluations and engage internal stakeholders.
  • Negotiate terms and conditions with legal counsel as needed.
  • Ensure Operational Principal Site Requirements are included in contracts.
  • Draft Recommendations for Award of Contracts for signoff.
  • Issue preferred tender status or Notice of Award at appropriate times.
  • Conform contracts aligning with the Clarifications Register.
  • Execute and lodge contract originals securely.
  • Ensure vendor data is entered into relevant systems.
  • Administer Contract Terms & Conditions and issue required notices.
  • Identify and escalate claims against insurances.
  • Review and manage contractual claims by contractors.
  • Assist with progress payments and claims management.
  • Chair vendor/supplier meetings and circulate minutes.
  • Manage impacts of variations or variation claims.
  • Prepare reports on contract status for commercial consideration.
  • Support the Project Team on legal and commercial issues.
  • Engage with vendors and understand their processes.
  • Ensure compliance with security of payments legislation.
  • Monitor contractor performance with the Project Controls team.

Key Skills:

  • Minimum of 3 years’ contracts administration experience on small to medium-sized projects.
  • Minimum of 5 years’ client-side contracts administration experience in the resources industry.
  • Degree in Quantity Surveying, Construction Management, Engineering, Business, Commerce, Finance, or Law.
