Key Responsibilities:
- Managing and coordinating all administrative tasks for the Project, including documentation maintenance.
- Updating existing Project registers and maintaining Project tracking databases.
- Ensuring visitors and external parties are inducted and hosted during their visits.
- Taking minutes at meetings on behalf of the Project Team.
- Liaising with vendors and external parties regarding Project matters.
- Supporting the Project Team in drafting presentations and collating reports.
- Assisting with written correspondence on behalf of the Project Manager.
- Organising events, meetings, and travel arrangements related to the Project.
- Monitoring and ordering equipment and consumables within budget limits.
- Assisting other Project Team members in their daily activities.
- Undertaking additional tasks as required.
Key Skills:
- Previous experience in a similar Administration role.
- Experience in providing administrative support to Project teams.
- Experience in the Oil and Gas industry or Engineering disciplines is desirable.
- NVQ3 Business Administration or equivalent.

The client are looking for an experienced contract / Project Admin Assistant to join the project on a contract basis to work Monday to Friday on site full time 5 days per week. In return candidates will be offered strong day rates of pay and the chance to work on a flagship client project progressing the UKs journey to a cleaner energy industry.
Job Purpose:
To provide administrative and secretarial support to the Project Team including but not limited to:
- Managing and coordinating all administrative tasks for the Project: Aiding the Project team in maintaining the Project documentation including printing, copying, collating information, data input and filing.
- Updating existing Project registers and maintaining Project tracking databases with accuracy.
- Ensuring that all visitors and external parties are fully inducted and hosted throughout their visit.
- Taking minutes at various meetings on behalf of the Project Team.
- Liaising with vendors and external parties with matters relating to the Project.
- Supporting the Project Team in drafting presentations, collating reports and plans.
- Assist in managing the written correspondence with various external and internal parties on behalf of the Project Manager, when required. This may involve drafting letters/emails and obtaining signatures where required.
- Assisting with the organisation of events, meetings, refreshments, meeting room set-up and coordinating travel arrangements relating to the Project.
- Assist the Project team in the monitoring and ordering of equipment and consumables within set budget limits.
- Assisting other members of the Project Team as required in their daily activities.
- Undertaking any other tasks commensurate with skills, qualifications and experience effectively and efficiently.
Key Responsibilities:
- Internally - Working primarily with the Project Team and numerous departments across the organisation.
- Externally - Assisting the Project Team in liaising with Visitors, Contractors and other 3rd party organisations.
Qualifications & Experience:
- Previous successful experience within a similar Administration role is essential.
- Experience in providing administrative support to Project teams would be advantageous.
- Experience within the Oil and Gas industry, Engineering disciplines and a mixed office team is desirable.
- NVQ3 Business Administration or equivalent (or equivalent).
- GCSE English (or equivalent).
- Excellent standard of English language, exemplary verbal and written communication skills.
- Proficiency in Microsoft Office Packages including, (but not limited to):- Word, Access, Power Point, Outlook and Excel.
- Has high levels of attention to detail and accuracy with the ability to proofread for grammar, spelling, and punctuation.
- Ability to manage business correspondence with efficiency and accuracy.
- Excellent organisational, interpersonal and communication skills.
- Pragmatic and flexible approach is essential, demonstrates a professional approach and has a proactive attitude with the ability to sustain high levels of performance.
- Demonstrates high levels of enthusiasm and has a positive outlook.
