Key Responsibilities:

- Support operational aspects such as meeting agendas, notes, and logistics.

- Handle budget management, expense tracking, and invoice processing.
- Liaise with internal and external stakeholders on behalf of the executives.

With the primary duty being that of PA to the Head of Europe & Canada and Head of CSOE will primarily be responsible for providing efficient administrative, organisational, and logistic support to the Execs whilst also supporting the General Managers and CSOE Team for operational aspects and projects. Managing information flow in a timely and accurate manner. The PA provides executive acting as a primary point of contact for internal and external stakeholders. The PA will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
Essential Functions
- Play a vital role in driving executive efficiency, managing complex schedules, and supporting the execution of key operational initiatives.
- Proactively manage and anticipate the VPs schedule, flagging critical meetings, deadlines, and potential conflicts.
- Providing administrative assistance, such as writing and editing emails, drafting memos, and preparing communications on their behalf.
- Maintaining comprehensive and accurate corporate records, documents, and reports.
- Supporting the Head of Europe & Canada and Head of CSOE with operational support e.g., meeting agendas, notes, and logistics.
- Managing executives’ calendars and set up of meetings including all region communications.
- Ability to multitask successfully in a fast paced environment.
- Meet and greet visitors at all levels of seniority and when applicable, make arrangements for visits.
- Preparing power point presentations and ensuring all documentation for meetings is prepared.
- Producing accurate agendas, documents, briefing papers, reports, and presentations.
- Ability to confidently work on own initiative.
- Oversee and manage projects as assigned, including executive level initiatives that require cross functional collaboration.
- Handle budget management, including expense tracking, invoice processing, and reconciliation.
- Coordinate, plan and prepare on and offsite team meetings.
- Professional demeanor at all times - discretion, confidentiality.
- Assist in proof reading, updating presentations and documents as required.
- Liaise with internal and external stakeholders as required on behalf of the Execs.
- Flight and meeting arrangements and controlling expense documentations.

Required/Preferred Education And Licenses
- At minimum A Level qualifications or relevant experience.
