On Behalf of Arup, we are looking for an Assistant Document Controller for a 6 month contract based in Newcastle. (hybrid - 3 days onsite per week, 2 working remotely).
Candidate Profile: Key accountabilities, skills & experience
Purpose of the Role: Support the delivery of major infrastructure and engineering projects by ensuring accurate control, tracking, and distribution of project documentation.
Maintain document management processes across multiple systems, ensuring compliance with project standards and tight delivery deadlines.
Act as a key member of the Document Control team, providing efficient administration of project information within a fast-paced construction and consultancy environment.
What You'll Do:
- Log, record, upload and distribute project documentation in line with project procedures and document control standards.
- Register, track and maintain Technical Queries (TQs), Requests for Information (RFIs), drawings, correspondence and other project deliverables.
- Verify and quality check documentation prior to issue, ensuring accuracy and compliance.
- Track, report on and chase time-sensitive deliverables to support project milestones and deadlines.
- Maintain project registers, records, guidance notes and document control logs.
- Obtain compliant document and drawing numbers in accordance with project requirements.
- Identify issues, resolve them independently where appropriate and escalate when necessary.
- Attend document control and project meetings, contributing to continuous improvement initiatives.
- Collaborate with project teams, stakeholders and colleagues across multiple locations.
The Skills You'll Need:
- Previous experience as a Document Controller within the construction, engineering, infrastructure or consultancy sector.
- Proven experience handling high volumes of project documentation on complex, fast-paced projects.
- Strong knowledge of document management systems such as Aconex, Asite, ProjectWise and SharePoint.
- Experience working with Common Data Environments (CDEs) and document control best practices.
- Strong organisational skills with the ability to prioritise competing workloads.
- Experience tracking project deliverables, RFIs, TQs and technical documentation.
- Strong communication and stakeholder management skills.
- Collaborative approach with the ability to work effectively within remote and hybrid teams.
