Summary: The role of Administrative Assistant involves supporting a leading global pharmaceutical client in Wisconsin by managing various administrative tasks related to personnel and project coordination. Key responsibilities include communication with staffing agencies, scheduling orientations, and providing IT support. Key Responsibilities:
- Communicating with staffing agencies/suppliers about new contract personnel
- Escorting non-company personnel
- Scheduling site-specific orientations
- Providing site information (Directions, maps, contact info)
- Providing IT information/Support (Submitting Service Now requests)
- Badging/Security
- Laptop orders/Software requests
- Developing and maintaining an org chart
- Developing and maintaining a project directory
- Reserving seats/desks for new personnel
- Taking meeting minutes
- Scheduling meetings/conferences
- Reserving conference rooms
- Ordering catering
- Organizing travel arrangements
- Expense reports
- Ordering office supplies
Key Skills:
- Extensive administrative experience, preferably in the construction or engineering industry
- Experience with project management software and electronic document management systems (EDMS) is a plus
- Strong organizational and multitasking abilities
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Attention to detail and ability to maintain confidentiality
- Ability to work independently and as part of a team
