Summary: Seeking a highly organized and proactive Administrative Assistant to provide dedicated support to a small group of senior leaders. This role will handle a variety of administrative tasks to ensure smooth day-to-day operations. The ideal candidate is detail-oriented, tech-savvy, and thrives in a fast-paced project environment. Reporting to the Director, TIS PMO, this role provides a broad range of basic to complex level support services activities on a multi-year integration program.

Key Responsibilities:

  • Calendar management (scheduling meetings, managing calendar invites)
  • Coordinate travel (flights and hotel bookings)
  • Preparing expense reports
  • Manage onboarding for employees and contractors for the group of senior leaders
  • Use judgment and initiative to communicate with internal stakeholders, clients, and colleagues.
  • General administrative duties to support the group of senior leaders and the IT team
  • Assist in coordinating meetings, functional, and other special events

Key Skills:

  • Administrative certification or equivalent experience, including business communications.
  • Minimum 3 years of progressively responsible and related experience in support of management.
  • Proven communication and influence skills.
  • Excellent interpersonal skills with the ability to collaborate with diverse work styles.
  • Strong knowledge of related Microsoft Office Suite, SharePoint, enterprise structure, and standard operating procedures; advanced computer skills.
  • Requires a high level of discretion, tact, and diplomacy in dealing with internal and external contacts, and confidential or sensitive information.
  • Strong organizational skills with the ability to prioritize work to support multiple clients in a fast-paced environment.
  • Ability to make suggestions to streamline and continuously improve relevant systems and processes.

One of our major oil and gas clients is seeking an Administrative Assistant II to work on a 12-month assignment in their facilities in Houston, TX.
