Summary: The Admin Assistant (EA) role at a leading pharmaceutical company involves providing comprehensive administrative support to senior regulatory professionals. Key Responsibilities:

  • Provide administrative support to senior regulatory staff, including diary management and prioritizing schedules.
  • Coordinate travel arrangements and logistical support for senior team members.
  • Process expense reports in the internal system promptly.
  • Handle Power of Attorney (PoA) documents, including printing, signing, notarization, and tracking.
  • Assist with training and travel requests, maintaining records and notifying requestors of approvals or rejections.
  • Support ad hoc tasks such as courier services, scanning, archiving, and preparing presentations or spreadsheets.
  • Manage departmental stationery orders and receipt them in the Ariba system.
  • Update organizational charts using Visio as needed.
  • Raise and manage purchase orders (POs) through the Ariba system.
  • Maintain internal departmental distribution lists.
  • Assist with event management and handle professional membership renewals.
  • Serve as a superuser for SAP Concur Travel & Expense and Ariba systems, providing guidance to colleagues.
  • Act as the main point of contact for the Harlow Regulatory Affairs department.
  • Prioritize and organize workload effectively while maintaining confidentiality.

Key Skills:

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Adobe.
  • Familiarity with Outlook, TEAMS, SAP Concur Travel & Expense, and Ariba is preferred.
  • Strong attention to detail and excellent typing skills.
  • Ability to work under pressure and meet deadlines.
  • Strong organizational and communication skills.
