Key Responsibilities:

About the Team

The Online Safety Group’s purpose is to ensure UK citizens have a safer life online by implementing and overseeing the requirements under the Online Safety Act 2023. The Group is responsible for delivering online safety policy, supervising online services, and building technical expertise to meet the regime’s aims.

Purpose of the Role

As Team Administrator, you will be responsible for providing effective general administrative support to the Online Safety Group, including reactive diary support to several members of the management team. This role is a 10-month fixed contract to cover a maternity leave.

Your key responsibilities

  • Support to Principals (management team) – diary support with setting up regular and ad hoc meetings (internal and external) and rescheduling meeting clashes when required.
  • Booking rooms and catering for internal/external meetings.
  • Support to project workstreams e.g. setting up regular project meetings and large workshops.
  • Arranging UK and international travel and accommodation for the team, including processing expenses on Workday and updating our travel expense database in excel to help manage the teams’ travel budget.
  • Booking all external training and conference attendance, including raising purchase orders through Workday.
  • Maintain the onboarding and leavers process including updating org charts, welcome packs, distribution lists and forwarding all relevant meetings.
  • Recruitment support – scheduling interviews, creating interview packs, welcoming candidates when required.
  • Proactively update internal team databases and Sharepoint sites.
  • Support the organisation of sub-team away days and social events.
  • Point of contact for all general admin queries.
  • Working closely with the wider admin team and providing cover when needed.
  • Flexibility to take on ad hoc projects/work
