Key Responsibilities:

  • Support mailroom operations, including franking, weighing, packing, and distributing items.
  • Process shipments using DHL Easy Ship system and manage inquiries from customers.
  • Handle company MORR requests and maintain the authorised driver list.
  • Create and record preventive maintenance plans and coordinate facility repairs.
  • Process invoices and ensure timely payments.
  • Engage in problem-solving activities and participate in team meetings.

Key Skills:

  • Previous reception and switchboard experience.
  • Intermediate computer literacy in Word, Excel, and Outlook.

The Opportunity We have a fantastic part time opportunity (32 hour, 8 month Fixed Term Contract) for an experienced Receptionist and Facilities Assistant to provide a high standard of efficiency across our business. This role is a key point of contact for William Grant & Sons international network of businesses, operations and external contacts, including consumers, ensuring a positive reflection of WGS values.

What you’ll be doing Efficiently operate Arc console in a professional manner for all Scottish Sites. Ensuring that all visitors are issued with the correct documentation & be first point of contact. Organise all travel arrangements for visitors arriving at SBP ensuring transfers are booked with local relevant taxi or coach firms, considering local budgets and individual preferences. Support and operate mailroom, franking, weighing, packing distributing Royal Mail and courier items and ensuring shipments are sent using DHL Easy Ship system with the correct paperwork, deal with the inquiries from internal and external customers, track packages and ensure they arrive at their destination in a timely and cost-effective manner. Process and manage the company MORR requests and requirements, checking and processing requests for authorisation to drive, maintaining the authorised drive list. Create and record preventive maintenance plan on IFS, and coordinate all site facility repairs, recording requests and ensuring reporting is carried out ad managed in a timely manner, following up and creating a clear plan for any repairs, tracking work order requests are carried out to a finish. Process invoices and ensure payment in timely manner. Play an active part in problem solving activities and engaged in team meetings.

About You Our ideal candidate will have previous reception and switchboard experience and have intermediate computer literacy in Word, Excel and Outlook. Attention to detail and accuracy is key in this role and experience of working in a mailroom environment would be an advantage.
