Summary: The role of Executive Assistant at a leading Private Equity firm in Central London involves providing comprehensive support to the HR team, including diary and travel management, project coordination, and recruitment administration. This is a 12-month fixed-term contract with a hybrid working arrangement, allowing one day of work from home each week.
Key Responsibilities:
- Provide Executive Assistant support to the HR team.
- Manage complex internal and external meetings across multiple time zones.
- Coordinate travel arrangements for the team and company advisors.
- Organize conference calls, in-person meetings, and team events.
- Prepare meeting rooms and liaise with in-house catering staff.
- Distribute meeting materials in advance.
- Process expenses using the HRIS system.
- Support recruitment administration, including interview scheduling.
- Assist in delivering global training programmes.
- Provide ad hoc HR operations support, including onboarding and induction scheduling.
- Plan offsites and local team social events.

Diary & Travel Management
- Arrange and schedule complex internal and external meetings across multiple time zones.
- Proactively manage busy calendars, handling last-minute requests with ease.
- Coordinate complex travel arrangements for the team and company advisors.
- Organise conference calls, in-person meetings, and team events.
- Ensure meeting rooms are properly prepared and liaise with in-house catering staff.
- Collate and distribute meeting materials in advance.
- Arrange external business lunches and dinners.
- Process expenses efficiently using the HRIS system
Expense management
- Assist with HR invoice approvals and manage the HR corporate card
Project & HR Coordination
- Support recruitment administration, including interview scheduling and case studies.
- Assist in the delivery of global training programmes, including Associate, Internship, and Corporate training.
- Provide ad hoc HR operations support: onboarding, SMCR certification, induction scheduling, and more.
- Plan offsites and local team social events.
